Job Description:
- We are seeking a Travel Administration Assistant to join our User Office group. This position is crucial to ensure the smooth operation of business travel management workflows. The successful candidate will be responsible for facilitating travel arrangements for staff, guests, and users, and ensuring compliance with relevant regulations.

Key responsibilities include managing the entire business travel workflow from requests to reimbursements.:
- Oversee and follow up on the business travel management workflow, including travel requests and bookings., Review and approve invoices and claim documents related to business travel., Act as the primary contact for staff, guests, and users regarding business travel inquiries., Arrange practical travel logistics and communications for funded users and members of the Proposal Review Panel., Provide support to other User Office colleagues during their absence.

Qualifications:
- Completed training in accounting or commercial fields
- or a bachelor's degree in a relevant administrative area.
- Proven experience in processing travel expense reports and claims
- including managing tax invoices.
- Familiarity with the legal framework related to business travel
- as well as experience with travel management systems.
- Proficiency in Microsoft Office suite.
- Strong written and oral communication skills in English
- with the ability to work effectively in a multilingual team. Knowledge of German is a plus.
- Excellent organizational skills and a service-oriented attitude.
